We take security seriously at RentBook. Not only do we adhere to the highest industry standards, we continually update our security practices to ensure your information is safe and compliant with financial regulations. 

Data Security

To protect your privacy, we limit the amount of sensitive data we store on our servers. For example, we do not store the contents of bank account numbers. When we do store financial information anonymously to help us provide better products and services for our users.

We designed and built all our systems with multiple levels of security, and we manage them according to industry best practices. Our hosting provider maintains world-class facilities that are certified to the highest levels of physical and virtual security. Reputable third-party security firms perform regular internal and external security audits of our systems, something we consider an essential investment.

 

Ownership

 

When you use RentBook, you own and control your information. We limit access to your information whenever possible. We share information securely with trusted third parties only when needed—to provide services, prevent fraud, and meet legal requirements. Unlike other applications, we do not use social media account identification as third party account registration to ensure your information is only stored with RentBook and it's partners. 

 

Keep Yourself Safe

Responsible Disclosure

 

We take security seriously and we appreciate your help in notifying us of vulnerabilities in a responsible manner. If you are a security researcher and have found a potential security vulnerability in our systems, please send details to concierge@rentbookapp.com

How We Use Your Information

We use the information we collect to operate, improve, and protect the services we provide, and to develop new services. More specifically, we use your information:

  • To operate, provide, and maintain our services

  • To improve, enhance, modify, add to, and further develop our services

  • To protect you, our developers, our partners from fraud, malicious activity, and other privacy and security-related concerns;

  • To develop new services

  • To provide customer support to you or to our developers, including to help respond to your inquiries related to our service or our developers’ applications

  • To investigate any misuse of our service and other unauthorized accesses

  • For any other purpose with your consent.

  • Provide data on suspicious transactions to FINTRAC & PCMLTFA ( Divisions of the Government of Canada )

How We Share and Store Your Information

We take deliberate steps designed to protect end user information in our possession. These steps include maintaining information security controls such as data encryption, firewalls, logical and physical access controls, and continuous monitoring. These controls are regularly evaluated for effectiveness against industry standards internally and by independent security auditors.

We do collect end user information to marketers or other third parties but the identity of the user is always anonymous. ​ We share information in an aggregated or anonymized manner (that does not identify you personally) for any purpose permitted under applicable law. This includes creating or using aggregated or anonymized data based on the collected information to develop new services and to facilitate research.

We retain information we collect about you for as long as necessary to fulfill the purposes for which we collected it, unless a longer retention period is required or permitted under applicable law. As permitted under applicable law, even after you stop using an application or terminate your account with one of our developers, we may still retain your information (for example, if you still have an account with another developer). However, your information will only be processed as required by law or in accordance with this Policy.

Intelligent Financial Screening Reports

Our financial screening is done in house and the data is deleted after 15 days. You will receive an in-house rating by RentBook that is bespoke to the property unit and tenant. Below is a list of the information that will be shown directly if both parties agree to the screen. For more information, read more under our Terms & Conditions.

Name, Address, Email, Screening Request ID, Screening Request Date/Time, Days Detected, Minimum Balance Detected, Current or Latest Balance Detected, Days with a negative balance (last 90 days), Free-Cash-Flow (Average Monthly), Expenditure (Average Monthly), Net Free-Cash-Flow (Average Monthly), Employer Name, Employer Income (Average Monthly), Other Income (Government Income \ Non-Employer Income), Overall Loan Payments, Utility Payment (Average Monthly), Telecom Payments (Average Monthly).
